  • Review body, frame, chassis, cab mount, trailer, coupling, liftgate, door, dock-impact, cargo-body, and structural damage history for unresolved or repeated defects.
  • Inspect frame and chassis areas, crossmembers, mounts, brackets, body attachments, bumpers, guards, steps, and structural components for cracks, corrosion, deformation, or looseness.
  • Inspect fifth wheel, kingpin interfaces, drawbar, pintle hook, hitch, coupling jaws, locking devices, release mechanisms, safety pins, and related mounting points.
  • Inspect trailer landing gear, support legs, air and electrical lines, frame, floor, doors, roof, walls, curtains, latches, hinges, and visible structural components.
  • Review liftgate, tail lift, ramps, winches, rollers, cargo doors, restraints, anchor points, internal rails, and other cargo-handling equipment maintenance where fitted.
  • Escalate frame cracks, insecure body or trailer components, failed coupling devices, damaged landing gear, unsafe liftgates, or structural repairs not verified before return to service.

  • Verify safety-affecting driver or DVIR defects, roadside inspection findings, breakdown reports, telematics alerts, and workshop discoveries are converted into traceable maintenance actions.

  • Check periodic or annual inspection status is current where required; for FMCSA-covered CMVs, the periodic inspection interval must not exceed 12 months.

  • Escalate overdue safety-critical maintenance, repeated schedule misses, missing service history, incompatible fluids or parts, or other planning gaps that could compromise safe operation.
Section 4Steering, suspension, tires, wheels, hubs, alignment, bearings, axle condition, and wear management
  • Review steering complaints, alignment issues, vibration, pulling, tire wear, suspension noise, wheel-end findings, hub leakage, and previous steering or suspension repairs.
  • Inspect or review steering linkage, tie rods, drag links, joints, steering gear, power-steering system, column components, and visible mounting points within technician authorization.
  • Inspect springs, air bags, shackles, U-bolts, suspension arms, torque rods, bushings, shock absorbers, axle mounts, and related components for wear or damage.
  • Review tire tread, inflation, cuts, bulges, casing condition, position-specific wear, rotation or replacement history, and matching requirements under the fleet programme.
  • Inspect wheels, rims, studs, nuts, hubs, bearings, seals, lubrication, runout or damage clues, and wheel-end service history where applicable.
  • Escalate steering looseness, cracked wheels, loose fasteners, severe tire damage, wheel-end leakage or heat, broken suspension components, or unresolved alignment conditions affecting control.
Section 6Electrical system, battery, charging, starter, wiring, lighting, warning devices, electronics, and fault diagnosis
  • Review battery, charging, starting, lighting, electrical, sensor, communication-network, and dashboard-warning faults from drivers, diagnostics, or maintenance history.
  • Inspect battery condition, mounts, hold-downs, cables, terminals, grounds, corrosion, protective covers, battery box, and isolation controls where applicable.
  • Check alternator or charging-system performance, starter condition, charging warnings, low-voltage events, parasitic-drain concerns, and related diagnostic evidence.

  • Escalate overheating wiring, battery insecurity, exposed conductors, critical lighting or warning-device failures, charging faults, or unresolved electrical conditions that affect safe operation.
Section 8Safety and emergency equipment, cab condition, restraints, mirrors, glass, fire extinguisher, warning devices, and road-readiness items
  • Inspect driver seat, seat belt or restraint, cab steps, grab handles, door latches, mirrors, windshield, side glass, wipers, washers, and demisting or defogging equipment.
  • Check horn, warning devices, reverse alarms, cameras, proximity systems, beacons, reflective markings, conspicuity devices, and other fleet safety equipment where fitted.
  • Verify required emergency equipment such as fire extinguisher and warning devices is present, securely mounted or stowed, serviceable, and within required service status where applicable.
  • Check first-aid kit, spill kit, high-visibility equipment, wheel chocks, seasonal equipment, recovery items, or route-specific safety equipment where required by the fleet programme.
  • Inspect dashboard labels, data plates, warning labels, permit holders, document storage, vehicle identification, and safety instructions for legibility and correct condition.
  • Escalate missing or defective restraints, visibility equipment, warning devices, required emergency equipment, or other road-readiness items that would make dispatch unsafe.

  • Confirm vehicles with defects that adversely affect safe operation remain clearly controlled, restricted, or out of service until the required repair or disposition is complete.

Does FMCSA specify one preventive-maintenance interval for every commercial motor vehicle?

No. FMCSA guidance for 49 CFR 396.3 states that systematic maintenance means a regular or scheduled programme, but the regulation does not prescribe one inspection or maintenance interval for every fleet. The motor carrier determines intervals based on the vehicle and operation.

What maintenance records are required for FMCSA-covered vehicles?

For vehicles controlled for 30 consecutive days or more, 49 CFR 396.3 requires identifying information, a schedule showing the type and due date of inspections and maintenance, and records of inspection, repair, and maintenance showing the date and nature of the work. Apply the current regulation to determine retention requirements.

How often is the FMCSA periodic inspection required?

For covered commercial motor vehicles, 49 CFR 396.17 requires a periodic inspection at least once every 12 months. The inspection must cover the applicable minimum periodic inspection items and be performed by a qualified inspector or an accepted equivalent programme.

When should a vehicle remain out of service after maintenance?

A vehicle should remain held or restricted whenever an unresolved defect makes operation unsafe under the fleet's criteria or controlling requirements. Safety-critical repairs should be verified before out-of-service controls are removed and the vehicle is released.

Does this checklist replace manufacturer service schedules or regulatory inspections?

No. It is an internal Logistics & Warehousing fleet-maintenance template.
