Section 1Calibration scope and device inventory
  • Confirm site, area, calibration date, device population or sample, and thermometer or sensor calibration scope are clearly identified.
  • Record device type such as handheld thermometer, probe, data logger, fixed sensor, recorder, vehicle sensor, wireless sensor, or another approved instrument.
  • Record asset ID, serial number, manufacturer, model, measurement range, location, and equipment or process served.
  • Identify the approved calibration interval, verification frequency, tolerance, and responsible owner for each device type.
  • Review previous out-of-tolerance results, repairs, dropped devices, damaged probes, battery failures, communication faults, and overdue actions.
  • Record the current device status as serviceable, verification due, calibration due, hold, repair, or remove from service.
Section 3Device identity, condition, and pre-check
  • Verify the physical device ID and serial number match the calibration record and asset register.
  • Inspect housing, display, buttons, probe, cable, connector, sensor tip, mounting, seals, and protective covers for damage or deterioration.
  • Check battery, power supply, charging, signal, communication, memory, alarm display, and other basic functions before calibration.
  • Review the device's most recent calibration label, due date, certificate, adjustment history, and previous tolerance result.
  • Clean or condition the device and probe using the approved method before testing where required.
  • Remove or hold devices with broken probes, unreadable displays, damaged cables, loose connectors, water ingress, or other defects affecting safe calibration.
Section 5Mid-point calibration check
  • Stabilize the device and reference at the approved mid-range test point before recording readings.
  • Record the reference reading and device reading after stabilization.
  • Calculate or record the difference between the device and reference.
  • Compare the difference with the approved mid-point tolerance.
  • Repeat or confirm the reading where required to verify repeatability and stable response.
  • Escalate mid-point drift, nonlinearity, unstable response, or other results outside the approved tolerance.
Section 7Adjustment, recalibration, and failure control
  • Adjust the device only when adjustment is permitted by the approved procedure and authorized personnel.
  • Record the as-found result before adjustment so the original condition remains traceable.
  • Repeat the required calibration points after adjustment to verify the device now meets tolerance.
  • Identify equipment, stock, processes, or records potentially affected by an out-of-tolerance device when required by the quality programme.
  • Quarantine, repair, replace, downgrade, or remove the device from service when it cannot meet the approved acceptance criteria.
  • Create corrective actions for repeated drift, frequent recalibration, physical damage, poor storage, user handling, or recurring device failure.
Section 9Storage, handling, placement, and ongoing verification
  • Check calibrated thermometers, probes, loggers, and sensors are stored or mounted to protect them from impact, moisture, contamination, and unauthorized adjustment.
  • Verify fixed sensors remain in the approved location and have not been moved, blocked, insulated, or exposed to abnormal airflow without review.
  • Check portable probes are cleaned, protected, and handled so the sensor tip and cable are not damaged between uses.
  • Confirm devices used for critical monitoring receive the approved interim verification or reasonableness check between full calibrations.
  • Review discrepancies between manual and automated devices for signs of drift, placement error, poor contact, or sensor failure.
  • Escalate repeated handling damage, unauthorized relocation, missed verification, or other practices that could undermine calibrated accuracy.
Section 2Reference standard and calibration setup
  • Identify the reference thermometer, simulator, dry-block, bath, ice point, certified standard, or other approved calibration reference used for the check.
  • Verify the reference standard has current traceable calibration or other approved evidence suitable for the required accuracy.
  • Check the reference range and resolution are appropriate for the device and temperature points being tested.
  • Confirm the calibration environment, setup, immersion depth, stabilization time, sensor placement, and test method follow the approved procedure.
  • Inspect leads, probes, connectors, wells, baths, blocks, fixtures, and accessories used in the setup for damage or contamination.
  • Do not proceed when the reference standard, setup, environment, or procedure cannot support a reliable calibration decision.
Section 4Low-point calibration check
  • Stabilize the device and reference at the approved low-temperature test point before recording readings.
  • Record the reference reading and device reading after the required stabilization period.
  • Calculate or record the difference between the device and reference using the approved method.
  • Compare the difference with the approved low-point tolerance for the device and intended use.
  • Repeat the reading when required to confirm stability and rule out transient or setup-related error.
  • Escalate low-point results outside tolerance or unstable readings that cannot be justified by the approved procedure.
Section 6High-point calibration check
  • Stabilize the device and reference at the approved high-temperature test point before recording readings.
  • Record the reference reading and device reading after the required stabilization period.
  • Calculate or record the difference between the device and reference using the approved method.
  • Compare the result with the approved high-point tolerance and device specification.
  • Check the device returns to stable operation after the high-point exposure where the procedure requires it.
  • Escalate high-point error, slow response, drift, display fault, or other out-of-tolerance result affecting intended use.
Section 8Calibration labels, certificates, and records
  • Apply or update the calibration label with device ID, calibration date, next due date, status, and other required information.
  • Ensure the label is legible, securely attached, and does not obscure the display, sensor, regulatory marking, or other required information.
  • Complete the calibration record with reference standard, method, test points, readings, tolerance, result, adjustment, operator, and approval where required.
  • Verify calibration certificates or service reports identify the correct device and include the evidence required by the programme.
  • Update the asset register, maintenance system, quality record, WMS or other equipment record with the new calibration status.
  • Escalate missing certificates, conflicting due dates, incomplete readings, wrong device IDs, or records that cannot support traceability.
Section 10Corrective actions and final release
  • Classify findings by reference standard, device condition, low-point result, mid-point result, high-point result, adjustment, label, record, or other approved category.
  • Prioritize findings using measurement error, product risk, process impact, affected duration, recurrence, device criticality, and use since last acceptable check.
  • Create corrective actions with named owners, due dates, repair or replacement scope, affected-product review, evidence expectations, and verification criteria.
  • Confirm any out-of-tolerance device has a documented disposition and is clearly prevented from normal use until acceptable status is restored.
  • Verify recalibrated or replacement devices meet the required tolerance before return to service.
  • Record final calibration status, critical open issues, next due date, technician or operator, quality or maintenance owner, and approval where required.
