Section 1Maintenance programme, vehicle details, and open work
- Confirm fleet or site, vehicle or trailer ID, registration or unit number, VIN or chassis identifier where used, vehicle type, mileage or hours, and maintenance date are recorded.
- Verify the vehicle is included in the approved fleet maintenance programme with defined inspection, preventive-maintenance, repair, and periodic-inspection responsibilities.
- Review current preventive-maintenance schedule, mileage or hour triggers, manufacturer service intervals, seasonal tasks, statutory or periodic inspection dates, and upcoming due work.
- Review open defects, DVIR or driver reports where applicable, roadside findings, breakdowns, repeated failures, recalls, campaigns, and outstanding maintenance work orders.
- Confirm maintenance ownership is defined across fleet operations, workshop or maintenance, transport, safety, drivers, parts or stores, and approved external service providers.
- Record final maintenance status such as serviceable, service due, repair before dispatch, restricted use, or out of service.
Section 3Brake maintenance and repair quality
- Review brake-related driver reports, DVIR defects, warning-light events, roadside findings, stopping complaints, air-loss reports, overheating clues, and previous brake repairs.
- Inspect or review service of brake pads or linings, drums or rotors, calipers, chambers, slack adjusters, hoses, lines, valves, fittings, and visible components within technician authorization.
- Check air-brake or hydraulic system leakage, pressure performance, warning devices, compressor or pump condition, reservoirs, fluid condition, and related maintenance evidence as applicable.
- Verify parking-brake condition, control operation, holding performance, linkage or actuator condition, and any reported parking-brake defects are addressed.
- Check ABS or electronic-braking-system warning faults, sensors, wiring, connectors, modulators, trailer ABS interfaces, and diagnostic findings are properly dispositioned where applicable.
- Escalate unresolved brake defects, repeated overheating, excessive leakage, failed parking brake, unresolved ABS safety faults, or repairs that have not been verified before release.
Section 5Engine, powertrain, fluids, and leaks
- Review engine, transmission, driveline, cooling, fuel, emissions, and exhaust complaints, diagnostic trouble codes, warning events, breakdowns, and previous repair history.
- Inspect engine oil, coolant, fuel, transmission, hydraulic, differential, or other system leakage and verify leak repairs are completed and rechecked.
- Inspect or service belts, hoses, clamps, reservoirs, cooling system components, radiator or charge-air cooler, fan or fan drive, and related mounts under the maintenance plan.
- Review fuel-system condition, lines, filters, tank, cap, pumps, injectors or fuel-delivery components, water separation, and leakage controls where applicable.
- Review exhaust and after-treatment condition, mounts, heat shields, sensors, DPF or emissions warnings, leakage clues, and maintenance actions where applicable.
- Escalate fuel leaks, unresolved overheating, major fluid loss, critical driveline or transmission defects, exhaust leakage, failed cooling components, or repeated engine faults affecting safe operation.
Section 7Body, chassis, coupling, and trailer condition
- Review body, frame, chassis, cab mount, trailer, coupling, liftgate, door, dock-impact, cargo-body, and structural damage history for unresolved or repeated defects.
- Inspect frame and chassis areas, crossmembers, mounts, brackets, body attachments, bumpers, guards, steps, and structural components for cracks, corrosion, deformation, or looseness.
- Inspect fifth wheel, kingpin interfaces, drawbar, pintle hook, hitch, coupling jaws, locking devices, release mechanisms, safety pins, and related mounting points.
- Inspect trailer landing gear, support legs, air and electrical lines, frame, floor, doors, roof, walls, curtains, latches, hinges, and visible structural components.
- Review liftgate, tail lift, ramps, winches, rollers, cargo doors, restraints, anchor points, internal rails, and other cargo-handling equipment maintenance where fitted.
- Escalate frame cracks, insecure body or trailer components, failed coupling devices, damaged landing gear, unsafe liftgates, or structural repairs not verified before return to service.
Section 9Defects, work orders, records, and periodic inspections
- Verify safety-affecting driver or DVIR defects, roadside inspection findings, breakdown reports, telematics alerts, and workshop discoveries are converted into traceable maintenance actions.
- Check each work order identifies the vehicle, complaint or defect, diagnosis, repair performed, parts used, technician or service provider, dates, and final disposition as required by the maintenance programme.
- Review critical replacement parts, remanufactured components, tires, brake parts, filters, fluids, batteries, and safety-related components for approved specification and traceability where required.
- Verify external workshops, mobile technicians, tire providers, brake specialists, dealers, and other service contractors are approved for the assigned work and provide usable repair evidence.
- Confirm maintenance records, vehicle identification, maintenance schedule, inspection history, dates and nature of repairs, and periodic or annual inspection evidence are current and retrievable for covered vehicles.
- Check periodic or annual inspection status is current where required; for FMCSA-covered CMVs, the periodic inspection interval must not exceed 12 months.
Section 2Preventive-maintenance schedule and due work
- Verify scheduled services are triggered using the fleet's approved mileage, engine-hour, calendar, duty-cycle, condition-based, or manufacturer criteria.
- Check overdue preventive-maintenance tasks, inspections, lubrication, filter changes, fluid services, belt or hose reviews, and other scheduled work are visible and escalated.
- Confirm severe-duty, high-idle, dusty, cold, hot, stop-start, urban, off-road, or high-load operating conditions are reflected in maintenance planning where applicable.
- Review engine oil, transmission fluid, coolant, differential or axle fluids, hydraulic fluids, filters, grease points, and other service items against the approved maintenance plan.
- Verify maintenance parts, fluids, lubricants, filters, and consumables used are suitable for the vehicle, system, specification, and operating environment.
- Escalate overdue safety-critical maintenance, repeated schedule misses, missing service history, incompatible fluids or parts, or other planning gaps that could compromise safe operation.
Section 4Steering, suspension, tires, and wheels
- Review steering complaints, alignment issues, vibration, pulling, tire wear, suspension noise, wheel-end findings, hub leakage, and previous steering or suspension repairs.
- Inspect or review steering linkage, tie rods, drag links, joints, steering gear, power-steering system, column components, and visible mounting points within technician authorization.
- Inspect springs, air bags, shackles, U-bolts, suspension arms, torque rods, bushings, shock absorbers, axle mounts, and related components for wear or damage.
- Review tire tread, inflation, cuts, bulges, casing condition, position-specific wear, rotation or replacement history, and matching requirements under the fleet programme.
- Inspect wheels, rims, studs, nuts, hubs, bearings, seals, lubrication, runout or damage clues, and wheel-end service history where applicable.
- Escalate steering looseness, cracked wheels, loose fasteners, severe tire damage, wheel-end leakage or heat, broken suspension components, or unresolved alignment conditions affecting control.
Section 6Electrical, battery, lighting, and diagnostics
- Review battery, charging, starting, lighting, electrical, sensor, communication-network, and dashboard-warning faults from drivers, diagnostics, or maintenance history.
- Inspect battery condition, mounts, hold-downs, cables, terminals, grounds, corrosion, protective covers, battery box, and isolation controls where applicable.
- Check alternator or charging-system performance, starter condition, charging warnings, low-voltage events, parasitic-drain concerns, and related diagnostic evidence.
- Inspect wiring harnesses, connectors, fuse and relay areas, exposed conductors, trailer electrical connections, rubbing points, moisture entry, and heat damage.
- Verify headlights, brake lamps, turn signals, markers, reflectors, horn, wipers, warning alarms, cameras, mirrors, and safety-related electronics are repaired when defects are reported.
- Escalate overheating wiring, battery insecurity, exposed conductors, critical lighting or warning-device failures, charging faults, or unresolved electrical conditions that affect safe operation.
Section 8Cab, safety, and emergency equipment
- Inspect driver seat, seat belt or restraint, cab steps, grab handles, door latches, mirrors, windshield, side glass, wipers, washers, and demisting or defogging equipment.
- Check horn, warning devices, reverse alarms, cameras, proximity systems, beacons, reflective markings, conspicuity devices, and other fleet safety equipment where fitted.
- Verify required emergency equipment such as fire extinguisher and warning devices is present, securely mounted or stowed, serviceable, and within required service status where applicable.
- Check first-aid kit, spill kit, high-visibility equipment, wheel chocks, seasonal equipment, recovery items, or route-specific safety equipment where required by the fleet programme.
- Inspect dashboard labels, data plates, warning labels, permit holders, document storage, vehicle identification, and safety instructions for legibility and correct condition.
- Escalate missing or defective restraints, visibility equipment, warning devices, required emergency equipment, or other road-readiness items that would make dispatch unsafe.
Section 10Repair verification, recurring failures, and release
- Confirm vehicles with defects that adversely affect safe operation remain clearly controlled, restricted, or out of service until the required repair or disposition is complete.
- Reinspect safety-critical repairs and complete an appropriate functional, static, diagnostic, or road test within authorization to confirm the reported defect has been resolved.
- Verify guards, covers, fasteners, lines, connectors, fluid levels, settings, wheels, doors, coupling devices, tools, and maintenance-area housekeeping are restored before release.
- Review repeated brake, tire, wheel-end, electrical, cooling, leak, coupling, suspension, battery, breakdown, or roadside defects for root-cause and preventive-maintenance adjustment.
- Update next-service due date, maintenance schedule, campaign or recall status, work-order closure, parts usage, technician evidence, out-of-service status, and fleet system records.
- Record final fleet-maintenance status, critical open defects, operating restrictions, work-order references, periodic-inspection status, next service date, maintenance owner, fleet owner, and return-to-service approval.

Does FMCSA specify one preventive-maintenance interval for every commercial motor vehicle?
No. FMCSA requires a systematic maintenance programme but does not prescribe one universal preventive-maintenance interval for every fleet.
What maintenance records are required for FMCSA-covered vehicles?
For covered vehicles, 49 CFR 396.3 requires identifying information, maintenance schedules, and records showing the date and nature of inspection, repair, and maintenance work.
How often is the FMCSA periodic inspection required?
For covered CMVs, 49 CFR 396.17 requires a periodic inspection at least once every 12 months by a qualified inspector or accepted equivalent programme.
When should a vehicle remain out of service after maintenance?
Keep the vehicle held or restricted while an unresolved defect makes operation unsafe, and verify safety-critical repairs before release.
